Either open a quote from the quote list, or under the project or contact that the quote is linked with.
If the quote has been sent out from Scoro, you can see the date when it was sent.
To make changes to the quote, click on the Modify button in the quote detailed view, or click on the quote number in the quote list.
From the quote, you can compile an order, invoice, purchase document, or turn the quote into a project or the quoted services into tasks with just a couple of clicks. Click on the button Use data on quote to... and pick the suitable option.
Or copy the quote to create another similar one instead of starting from scratch. Just click Duplicate.
After filling out all details on the quote and saving it, you can click the PDF button to check the preview of the quote and, if everything is as it should, send it to your customer.
When clicking on Send, the email preview pops up. If needed, make changes to the email or just send it as is, if you have set up the default content of your emails under Settings > My settings > E-mail.
Once the customer has confirmed the quote, you can create tasks from the services on the quote, and delegate these tasks to your team members.
If in your team a supervisor checks quotes before sending them to customers, you can set up quote line confirmation under Settings > Sales and finance > Quotes.
Example:
If a user shouldn't have the right to confirm quotes, the system administrator needs to remove the right to confirm quote lines from the permission set the user is assigned to.
When sending a quote, you can choose the language for the PDF, in case your site has more than one language activated.
Note! The products and services on the quote will also be displayed in the selected language if the translations have been added to them in the product database. Go to Settings > Sales and finance > Products to add translations to each product.
Additionally, you can add files and comments to the quote.
The files you've added to a quote can also be sent to the client along with the quote. Just tick the files, when sending out the quote.
All the sent emails and attachments can be seen under Reports > Sent items.
When the email has been sent out, a window pops up with a few choices:
- If you wish to save the sent email as a done task linked to the contact (to log the time spent on compiling the quote and communicating to the customer, etc.), select a duration and save the task.
- If you wish to save the task and add another task to work on, click Save and add another.
- Click on Close to ignore previous options.
