If you have not integrated your accounting software with Scoro for synchronizing receipts (and invoices), another option is to import them manually.
You can export a bank statement from your bank and import it to Scoro. Just make sure all the required fields are filled out. Scoro then automatically matches all the payments received with the relevant sales invoices, no need to link them one by one. You can assign receipts to different payment accounts to easily filter the receipt list by different accounts.
TIPS FOR PREPARING THE IMPORT FILE:
- Download the example file and follow its structure. You can find the example file by going to the Import/Export module and selecting the relevant import page (Receipts).
Of course, you can also use your original bank statement if all the required fields are available and the structure and format of the file are suitable (.xsl or .csv).
- Mandatory fields that need to be filled in for importing receipts:
- Invoice number for which the payment was received. In the example file, the field is called comment and in the matching phase description.
- Date – when the payment was received.
- Possible date formats:
yyyy-mm-dd (recommended format)
- Possible date formats:
- Payer name – the name of the client who made the payment.
All other fields are optional and are mostly used for checking whether an invoice with that number already exists in the system or not. If you have filled out the invoice number properly, there is no need to fill out the optional fields in the import file.
If you downloaded the bank statement with all transactions (income and cost), the field debit_credit should be filled out in order to import receipts only (income). Mark C if you want to import the receipt. Mark D if it is a cost. Alternatively, you can just delete these rows.
After you have prepared the file, import it to Scoro.
The mapping phase:
Map the columns filled out in the import file to the fields in Scoro. If you have used the column headers from the template file, most fields are mapped automatically. Or, if you import the original bank statement and your bank is listed under the preset templates, pick the relevant preset from the dropdown list – this way, the fields are matched automatically.
You can select under which receipt account the receipts belong.
Receipt accounts can be created under Settings > Sales and finance > Receipt and payment accounts and they are used for sorting receipts in the list of receipts (Invoices > Receipts).
Scoro will notify you once the import is complete. The lines in the import file containing errors are not imported to Scoro. In that case, Scoro compiles an error report and notifies you of the issues.
If the system is unable to match a receipt to an invoice, you can link them manually.
