This article will walk you through how to add a new contact to your Scoro contact database. The process for creating company or people contacts is the same, with only a few fields that differ.
1. Adding a new contact
New contacts in Scoro can be added:
- from the Contacts module – or Companies or People module if your site has split that module
- from a task, event, invoice, quote, or an order
1.1. From the Contacts module
To add a new contact (company or person) to your Scoro site's database:
- Open the Contacts module – or Companies or People module if your site has split that module – and click the + New button.
If you're using the unified Contacts module, choose whether to create a new company or person contact. - Fill out the contact card details as needed:
-
General information – enter the first name, last name, mobile phone number, and email address.
- Click the Add button to add more contact and social media fields and fill them in.
- If there's a designated e-mail address where to send the Scoro invoices for the company contact you're adding, add the E-mail for invoices field and provide the e-mail address. If you leave this field blank, invoices will be sent to the default email address noted on the company contact card.
- Address – enter the full address details (country, city, street address, postal code, etc.).
- Categories and tags – assign categories and tags to your contact so you can find clients faster using specific search criteria. Learn more about how to use them in our Contact tags and categories article.
- Display in client list – enable this checkbox to mark the contact as a client. Contacts marked as clients can be invoiced.
- Display in supplier list – enable this checkbox if you want to mark the contact as a supplier. Contacts marked as suppliers are included in the supplier report.
- Description – use this freeform text field to add any comments or details about the company or person contact you're adding.
- ID code
- Bank account
- Time zone
- Task bundle – select a task bundle to automatically create that set of tasks and link them to this contact.
- Job title (person contacts only)
- Gender (person contacts only)
- Birthday (person contacts only)
- Picture (person contacts only) – upload a photo of the person.
- Client profile (company contacts only) – select the correct client profile to apply to this company if you're using them.
- Reminder profile – select the correct profile for invoice reminders if you're using them.
- Related users – set the related user as yourself or another site user. For more info on how related users work, see this section.
- Account manager – assign a manager for the company, which will be shown in bold in the contact detailed view. While you can choose the Without account manager option, we recommend assigning an account manager to help divide clients among the sales team.
-
General information – enter the first name, last name, mobile phone number, and email address.
- When ready, click Save to finish creating the contact record.
1.2. From a task, event, invoice, quote, or order
You can also add a new company or person contact to your contact database while creating a new task, event, invoice, quote, or order. This means that if you need to create a quote for a new contact, you don't have to add the company with all of its contact details to the contact base beforehand.
To create a new contact from a quote, task, event, invoice, or an order in Scoro:
- Start typing the contact name in the Client field, then click the + button on the right side of the field. A pop-up window with the contact modify view will appear.
- You can fill in the contact details now or later, however you wish.
2. Tips and best practices for contact data management
-
Use mandatory fields for consistent contact data:
For contact data consistency and hygiene, we recommend entering contact details the same way every time. One way to ensure this is by setting up mandatory fields (available in the Enterprise platform and in the legacy Pro, Ultimate, Performance, and Enterprise plans). This way, you won't miss important details. -
Create custom fields to capture contact details that matter to your workflows:
You can create custom fields to add any additional details for your contacts that aren't available on the contact card by default – for example, to mark where the customer came from as a lead, etc. Alternatively, you can use tags.
