1. Viewing an event
To get a quick overview of an event, hover the cursor over its start time.
Click on the event to see the detailed view.
The start time color indicates whether the event is confirmed or tentative:
- Solid colored start time means that the event is confirmed and scheduled. Once you or the invited attendee(s) accept the calendar invitation, the time display changes to a solid background.
- Outlined and transparent background for the start time means that the invitation to the event was sent out, but the event is still pending confirmation from the attendee(s).
2. Modifying an event in the Calendar view
The best way to modify the event time and duration for an event with multiple participants is by using the Time slot finder - learn more about it in the next section.
In the calendar view, you can change the date and/or time of an event by dragging and dropping it to the preferred time.
When dropping the event to a new time slot, you can undo the last move by clicking the Undo button in the top-right corner of the calendar view.
To change the duration of the event, grab the bottom of the event box with the cursor and drag it longer.
3. Modifying an event in the event modify view
You can open the event modify view straight from the Calendar view in the following ways:
- By clicking on the event start time;
- By hovering over the three-dot icon at the top-right corner of the event card and clicking Modify.
If you're in the event detailed view, click the Modify button to enter the event modify view and change any of the event details as needed, just like you would when adding an event.
If you're using the Google Calendar integration, you can click the Open in Google Calendar shortcut to open the event in your Google Calendar and modify it there.
You can use this shortcut:
- when you need to modify an event organized by someone else
- when you're using a one-way sync direction (from Google Calendar to Scoro) and you need to modify a synced event
- if you simply prefer modifying your events in your Google Calendar.
3.1. Duplicating the event
Click the Duplicate button at the top-right corner to create a new event with the same details already pre-filled.
3.2. Converting an event to a task
An already saved event can also be converted into a task by clicking the Convert to task button. This option is handy if the activity doesn't need to take place at a certain time, but is more like an assignment. When converted, the event is removed from the calendar and added to the task list as a task.
3.3. Changing event time and duration
To change the date or duration of the event, click on the date and duration fields.
To reduce the manual effort of finding a suitable time for an event with multiple participants, use the Time slot finder, which will suggest the next available time slots based on the participants' calendars. Time slot finder is available when modifying or adding a single event.
Click the Time slot finder button and select the preferred time to browse as far ahead in the calendar as needed. Click the three-dot icon to access more advanced settings to narrow down the options even further:
- Required participants setting lets you select which participants' calendars to consider when finding common available time slots. Click on the image or initials for the user(s) whose attendance is optional.
- Adjust the working hours to ensure the time slot finder looks for available time slots during your team's work hours.
If you want to look at the participants' calendars before choosing an event time, scroll to the end of the suggested time slots and click View in Calendar. This will open a new tab with a filtered calendar view with all the event participants, including those whose attendance is optional.
The time slot finder will suggest only time slots when the selected users are available, considering all time-off entries during the selected time frame.
Click the three-dot icon to view more time slots for the suggested dates, and select the time slot you prefer for your event.
3.4. Inviting guests and sending event invites
You can easily add external guests and send event invitations to their email addresses. This helps you ensure that billable time is logged in Scoro and automatically linked to the right project and other data, improving your data accuracy.
To do this:
- Enter your external guest’s email address in the Invite guests field.
Click the + icon next to add more guests. - Once you've added at least one guest, the Send invite toggle on the left to the Save button will appear. It is enabled by default.
- Save your event.
Note!
- Event invites can be sent to external guests (not your site users) and for single-occurrence events only.
- To send out the invitation emails from Scoro, you must set up your personal SMTP and ensure that your calendar integration data sync direction is set To Scoro.
Once saved, Scoro will automatically send your guests an invitation email with the following info:
- key event details like date, time, location, participants, and a conference link
- .ics file they can use to add the event to their calendars
- buttons for confirming the event attendance
You can track who accepted or declined the invitation by checking the Guests section in the event detailed view.
4. Deleting an event
To delete the event for all participants:
- Click the event start time to open the modify view.
- Click the Delete button and confirm your choice.
You can also hover over the three-dot icon at the top-right corner of the event card to access additional buttons:
- For events with one or two participants, you can use the Delete option to delete the event for everyone.
- For events with two or more participants and any number of external guests, you can use the Remove me from the event option to quickly remove yourself as an event participant while keeping it for others.
Note! Personal events can be deleted only by the person who created the event and other participants, if there are any. When a person leaves your company, any personal events they created with no additional participants will stay in Scoro as they cannot be deleted.
5. Frequently asked questions
Can I mark myself as a tentative participant on a calendar event in Scoro?
At the moment, it's not possible to mark yourself as a tentative participant on a calendar event in Scoro. If you're unsure whether you can attend, you can leave a comment on the event and click 'Notify' to inform all other event participants.
If you didn't attend the event, remove yourself from the event to keep your work report accurate.
