Scoro’s calendar brings all of your team’s calendars together for quick and hassle-free task and time management. You can pick whose calendar to see, choose the calendar view based on your planning situation, and decide how much detail to display. You can also manage time off within the calendar, as well as integrate it with third-party calendar platforms you and your team use.
This article will walk you through the basics of using the calendar.

1. Customizing the calendar view
Pro tip! Save your frequently used calendar views as bookmarks or your default view for easier access later!
1.1. Filtering the calendar
By default, the Calendar always displays your own calendar. You can use the User filter to view and add events to other team members' calendars, or even get an overview of your entire team's week.
Click the Filter button to access more calendar view filters, such as:
- Shared resource
- Project
- Status
- Activity type
- User tags
- Contact
- Event – filter by the event types (work, personal, public holidays, birthdays)
1.2. Choosing the display format
You can customize the display format for your calendar by choosing between the following options:
- Day, Week, Month, Year – these options display a classic calendar view
- Agenda – choose this if you prefer a simple list of your daily agenda over the calendar format
- User grid – displays a weekly view with each user on a separate grid lane
1.3. Event data
The level of detail on the event cards in the calendar can easily be customized to display only the information that’s relevant to you at a glance:
- Click the View button, then click on Event data.
- Enable the event details you want to display on the event card:
- Title – always shown on the event card, cannot be disabled
- Participants – when enabled, multiple-participant event cards show the participant avatars, letting you see quickly which events have multiple participants
- Activity type
- Description – displays the very beginning of the description (not the full description)
- Conference call link – the link in this field is clickable
- Company and Person linked to the event
- Address – where the event takes place
- Shared resources
- Project – the link in this field is clickable
- Linked task
- Documents linked to the event – Invoice, Quote, Bill, Purchase order
- You can drag and drop the event details to change the order of how they’re displayed on the event card. When ready, click Display to update your calendar view.
1.4. Summary bar
You can add a summary bar that displays a summary of key measures and values at the bottom of your calendar view:
- Click the View button, then click on Summary bar.
- Enable the values you want to display in the summary bar. You can enable the Round numbers checkbox if you prefer round numbers. When ready, click the Display button to update your calendar view.
1.5. View options
You can access even more calendar customization settings under View > View options menu:
-
Time grid – select the time range to display on each day in the calendar.
-
Tasks and time entries – choose whether you want to display the number of tasks planned and total time logged under each date.
-
Show booked time slots – use this checkbox to control whether you want to display the booked events in the calendar. When disabled, the booked time slots are higlighted in gray without any of the event details visible, keeping the main focus on the available time slots.
- Show available time slots – use this checkbox to control whether to display available time slots in the calendar. When enabled, clicking the time values on the available slots lets you quickly add a new event.
-
Show weekend on the same row – enable this checkbox if you’re using the week display format, and you want to see the weekend days aligned with the workdays. When disabled, the weekend days are displayed at the bottom of the calendar view, keeping the main focus on the workdays.
2. Viewing, adding, modifying, and deleting events
We have dedicated articles about event management in the calendar:
3. Managing time off
Changes in your team's availability are expected when managing work time. Having accurate information about each team member's available work hours is crucial for good resource planning and allocation.
Scoro’s time off feature in the Calendar and Timesheet views lets your team adjust their available work hours directly in Scoro, helping project, team, and traffic managers understand everyone's actual availability and get project timelines and deadlines right.
For more information about time-off management in Scoro, watch the video below or see our dedicated Time off article.
4. Personal calendar preferences and site-wide settings
Calendar customization doesn’t happen only in the Calendar view. Settings related to the Calendar view can only be managed in the following settings pages:
- My calendar and tasks – manage personal preferences, such as default event durations, conference call links, and more;
- Calendar and task settings – site-wide settings for site admins.
5. Calendar and event management permissions
The level of calendar access and management options in Scoro is controlled by permission sets. There’s a whole dedicated section for Calendar and tasks access rights, where you can manage what the specific permission set can see and do when it comes to tasks and events of users with other permission sets.

6. Integrating external calendars
While Scoro’s Calendar is excellent for managing your daily agendas, your team may already use external calendars. You can easily integrate these external calendars with Scoro so that your team can access and manage their Scoro calendar events in the external calendar and/or vice versa. Scoro currently supports integrations with Google Calendar, MS Exchange, and iCal.
Before integrating your external calendars, we highly recommend getting familiar with these introductory guides:
