When turning the services on a quote into tasks for your team, you can also include the related events when calculating the time spent on project-related activities. This comes in handy when one part of a task is having a meeting with the client.
In the event modify view there’s an option Link with task under the More dropdown.
When clicking on it, the tasks of the relevant user are displayed. Even so, the user can search for and link the event with any task that he or she has access to. Pick a suitable task and click Save.
In case of accidentally linking the event to the wrong tasks, for example, just click Unlink and start over.
When linking an event with a task, all event links are removed and the task details are automatically added to the event. Click on the task name in the event detailed view to easily get to the task.
In the task detailed view the event is shown among time entries. You can recognize it by the calendar event icon.
If the event has only one user as a participant, the user's initials are displayed (just like for a regular time entry). If the event has more than one participant, then a group icon is displayed instead. When you hover over the initials or the group icon (if the calendar event has more than one participant), a calendar event preview is displayed (just like in Calendar, when hovering over the event start time).
If the event has only one user as a participant, the duration of the event is displayed in black. If the event has more than one user, the overall duration is displayed on top, and under it the number of participating users x length of the event.
To get to the modify view and make changes to the event, just click on the pencil icon that appears when hovering over the time entry.
Note! You can only add an event as a time entry when linking an event to a task, not from the task detailed view like regular time entries.
In the task list view the time entry has a calendar event icon instead of the regular time entry icon – that's how you can tell the two apart.
Clicking on the calendar icon will open the event modify view.
If the event hasn’t ended yet, the overall duration (event length x number of participating users) is displayed in the “To do” column. If the event has ended, the overall duration is displayed in the “Time spent” column. The date of the event is displayed as the deadline after the name of the event (like for a regular time entry).
In the work report, an event logged as a time entry is displayed as a regular event.
