1. Before syncing invoices to Avalara
Before you can sync your Scoro invoices to Avalara, make sure you have:
- enabled the Invoices and credit invoices toggle in the Avalara integration settings page
- created the invoice list bookmarks
- configured and activated the mandates for invoice sync
See the Avalara integration overview and setup article for more guidance on all the above requirements.
Additionally, you can use the Avalara mappings field in the invoice modify view to specify a mandate for that particular invoice. In that case, the specified mandate will take priority over the bookmark during routing.
2. Syncing invoices to Avalara
Invoices can be sent from Scoro to Avalara in the following ways:
- Automatic sync
- Syncing all unsynced invoices at once
- Syncing multiple invoices at once
- Syncing an individual invoice
2.1. Automatic sync
If you’ve selected hourly, daily, weekly, or monthly sync in the Avalara integration settings, the integration will use bookmarks to identify which invoices need to be synced and route them to the correct mandate. No additional action is needed in this case.
To maintain compliance, Scoro prevents resending the same invoice unless the document is modified in Scoro.
2.2. Syncing all unsynced invoices at once
To sync all unsynced invoices to Avalara at once:
- Go to Settings > Site settings > Integrations > Avalara.
- Click the Synchronize now button.
2.3. Syncing multiple invoices at once
You can also sync multiple invoices to Avalara at once from the invoice list:
- Open the Invoices module, filter the list to show the correct invoices, and select the ones you want to sync. An additional bar with bulk actions will appear.
- Click the Avalara actions button and select Send to Avalara.
2.4. Syncing an individual invoice
To sync an individual invoice to Avalara:
- Open the invoice detailed view.
- Click the Avalara actions button and select Send to Avalara.
3. What happens after the invoice is synced?
Once an invoice is synced from Scoro to Avalara, Avalara routes it to the appropriate tax authority for compliance or directly to the client first, depending on the country and mandate requirements.
4. Invoice logs
You can easily check the send attempts, current status, timestamps, and error messages and events returned by Avalara from the invoice detailed view – simply click the Avalara actions button in the bottom menu and choose Show document logs.
5. Viewing the synced invoices
Make sure to add the Synced with Avalara data column to your invoice list view to quickly see at a glance whether an invoice has been synced to Avalara.
You can also use the Synced with Avalara filter in the invoice list view to filter out the documents that have been synced to Avalara.
6. Downloading the compliant file
Once an invoice is fully processed, you can retrieve the final, compliant document from the invoice detailed view – click the Avalara actions and select Download file. This will generate a PDF and an XML file; Avalara may take a bit longer to generate the PDF. Once done, the compliant files will be available in the Files section of the invoice detailed view.
