This article explains what projects and data are visible in the project list, how to customize your list view, and how to manage your projects directly from the project list view.

1. Which projects are shown in the project list?
The project list view shows active projects by default. To choose which projects are considered active and shown in the list:
- Go to Settings > Site settings > Statuses > Projects
- Tick the checkbox under the In active list column for the projects you want to include.
2. Customizing your project list view
You can customize your project list view as needed by using the following options:

2.1. Filtering
By default, the project list shows active projects (those with statuses in the active list), but you can use the Status filter to select different statuses.
Use the User filter to display only your own projects or select other users or user groups.
Click the Filter button to access even more project list filters:
- Type – filter one-off, retainer, or internal projects
- Clients
- Countries
- Creation date, Start date, Due date, and Completion date
- Activity exists or Activity missing – these filters let you select a time range to filter out projects with or without activities (time entries and events) during that timeframe
- Tags
- Plus any custom fields that are set to be filterable in the project list
2.2. Managing data columns
You can customize what data columns to display in the project list:
- Click the View button, then click Data columns.
- Enable the data columns you want in the list view, and disable the ones you don’t. You can also drag and drop the data columns to set them in your preferred order. Once done, click Display.
2.3. Grouping
Use the Grouped by button in the project list to consolidate projects by your preferred data type – such as by clients, project managers, or statuses. You can always leave the project list ungrouped.
Additionally, you can summarize the grouped data:
- Click the View button, then click Data columns.
- Enable the Summarize checkbox and click Display.
Once summarized, the project list will display all the data within a group – for example, if you’ve grouped the list view by clients, the project list will display each client on a row, with the selected data columns summarizing values from all projects linked to the respective client.
2.4. Sorting
You can sort the project list data by most data columns – such as the project number, due date, project manager, start date, project name, deadline, status, income, and others. Simply click on the column title to sort the list. Click it again to change the sorting direction.
Note! If the data column title is unclickable, it means you cannot sort the project list by that column.
2.5. Summary bar
You can set up a summary bar of key project metrics above the list of projects. It updates in real time – changes are automatically reflected in the summary bar once different filters are applied and the filtered projects are updated.
To set up and customize your summary bar:
- Click the View button, then click on Summary bar.
- Enable the metrics you want to add to your summary bar, and disable the ones you don’t. You can also drag them to change their order and round up the numbers. Lastly, click Display.
3. Managing projects from the project list
3.1. Viewing and modifying a project
To view a project, click on the project name.
To modify a project, click the icon next to the project name.
Alternatively, open the project view first and then click the Modify details or Modify budget buttons.
3.2. Bulk commands
When ticking several projects on the list, you can use several bulk options like adding tags, assigning a project manager, etc.
Projects can be exported by selecting the necessary ones and clicking on the Export button.
3.3. Changing project status
The project status lets you quickly understand at what stage a project is right now. This helps you define which members should be working on it at that stage.
To change the project status, click on it and select the necessary status.
If you change the status to Completed for a project that still has uncompleted tasks, Scoro will warn you about this and let you choose between closing the tasks along with the project status change or moving them to another project.
