Custom fields can be created under Settings > Site settings > Custom fields.
This article will walk you through the general process of creating new custom fields and managing the existing ones. We have separate articles that cover the creation of specific-format custom fields:

1. Creating a new custom field
Users with the Manage custom fields and PDF templates permission in their permission set can create custom fields by going to Settings > Site settings > Custom fields and clicking the Add button.
Clicking the Add button will open the custom field modify view with the following sections that include granular settings for configuring your custom field as needed:
1.1. Name
The Name section of the custom field modify view lets you name your new custom field. There are two text fields to fill out here:
- Input field caption – enter the name of the field that will be displayed in the relevant Scoro views where the custom field will be present.
- Input field name – enter a unique identifier for this custom field that will be used in PDF and email templates, as well as API requests. It is filled out automatically as soon as you enter the Input field caption, but you can modify it as needed.
1.2. Formatting
The Formatting section of the custom field modify view includes the following fields for formatting your custom field:

Format – select one of the 15 available data formats from the dropdown menu (you can find more info on each field format in the Getting started with custom fields guide):
- Text
- Checkable textbox
- Checkbox
- Drop-down list
- Date
- Duration
- Date and time
- Number
- Money
- Numbering
- Formula
- Image
- Subheading
- Relation
- Trigger

Context help – enter a brief description or instruction for your team on how they should use this field or what they should enter in it. Custom fields with the context help provided will have an infotip symbol (i), and hovering over it will display the infotip content.
Once you’ve selected the field format, the Formatting section will display additional format-specific settings to further configure the custom field. The table below provides an overview of all the format-specific settings and how to configure them:

Add your dropdown field options one by one – click the Enter value field, enter the option name, and press the Enter key to save it and enter the next value (and so on until you’ve added all the options). You can drag and drop the options to change their order in the dropdown list. To delete an option, hover over it and click the Delete button (trash can icon). |

Use this dropdown field to select the object the relation field is for and populate a dropdown list of the relevant objects. For example, if you want to add more than one user or contact to a quote, or link another contact person to an event, you can choose that object (e.g., Person), and that field will populate a list of your site’s people database. To make the related value appear on the selected object as well, tick the Show relations section in selected view checkbox. |

Note! Custom fields configured with the Subheading format do not have any additional formatting options. They serve purely as text headings to organize and divide your custom fields into distinct sections.
1.3. Modules
In the Modules section of the custom field modify view, you can enable the checkboxes next to the Scoro modules and views where you want to use this custom field.
1.4. Display options
The Display options section of the custom field modify view lets you further control the visibility and accessibility of your custom field:

Displaying in list view (available for all format fields except Subheading, Relation, and Trigger button formats) – select Customizable column if you want to make the custom field available as a data column in the selected list view(s), or choose Not displayed if you don’t want that.
- When you’ve chosen the Customizable column option, an additional Show full content in list views checkbox appears – enable it to display the full field values, or disable it to display the value partially, with the full details visible on hover. Keep in mind that very long field details, when displayed in full, may distort the list view.
- You can also sort list views by the custom field columns.
- Filterable – enable this checkbox to make the custom field available as a filter in the selected list view(s), as well as the detailed financial report and detailed work report.
- Editable in detailed view – Enable this checkbox if you want to allow users to modify the custom field in the detailed view (without opening the full modify view) by simply double-clicking on the field.
- Is hidden in modify view – Enable this checkbox to keep the custom field completely hidden when editing an existing item. The field will only show up and be editable during the initial creation of that item.
- Show in summary bar – If you want your Duration or Number format field to be available for display in the summary bar of the respective module or view, enable the Total or Average checkboxes, or both, according to the type of values you want to display.
- Width – Set the custom field to take 50% or 100% of the page layout width. Choose 50% if you want to display two custom fields side by side.
1.5. Access control
The Display options section of the custom field modify view lets you determine which site users can access the custom field:
- Enable the Limit access checkbox. An additional dropdown field will appear.
- Click on the dropdown field and select who can access this custom field. You can click the Dynamic / Groups tab and select a specific dynamic user or user group, or click the Selected users tab and pick all the users you want to give access to.

Note! Don’t forget to click Save when you’ve finished configuring your new custom field to save it!
2. Managing existing custom fields
Once custom fields are created, they can be modified, archived, or deleted under Settings > Site settings > Custom fields.
The custom fields list displays basic summary information, such as:
- Total number of custom fields created
- Total available (so you can keep track of how far you are from reaching the custom field limit for your Scoro plan)
- Total unique custom fields created
Use the various filters available in the custom fields page to quickly locate the necessary custom fields:
- Status – choose to display on active or inactive custom fields, or both
- Module – sort custom fields by the module they’re available in
2.1. Modifying a custom field
You can quickly change the status of a custom field from the custom field list view – click on the status indicator on the custom field row and select the necessary status.
To modify the full details of an existing custom field, click on the custom field you want to edit, make the necessary changes, and save them.
Note! While you can change an existing custom field’s Format, doing so may result in irreversible data loss if the new and old formats are incompatible. Scoro will display a clear warning once you change the format, alerting you of potential data loss before you save the changes.
2.2. Archiving or deleting a custom field
When a custom field is no longer needed, you can:
- archive it to hide it from the related module(s) and view(s) while retaining all its associated data,
- or delete it to permanently remove the field and all its associated data.
To archive a custom field, simply click on the status indicator in the custom fields list and change it to Archived. You can still access your archived custom fields by filtering the field list by the ‘Archived’ status.
If the custom field was built in error and has no transactional or historical data linked to it, you can delete it permanently:
- Go to Settings > Site settings > Custom fields and click the name of the custom field to open its settings.
- Click the red Delete button in the top-right corner, enable the checkbox next to the deletion warning, and confirm the deletion.
Note! Deleting a custom field permanently removes the field and all data entered into it across your entire site. This action is irreversible.
