Statuses make it possible to sort data exactly the way you see fit. They help to differentiate between various phases of sales documents, tasks, projects, etc., and allow you to compile detailed reports. With various custom statuses, all important data is always organized exactly the way you want it to be, be it the task board, pipeline, projects, or some other view. Different colors make it easy to recognize items with different statuses at a glance.
To start customizing the statuses in your site, go to Settings > Site settings > Statuses.
Note! Customizable statuses are available with the Pro and Ultimate plans. In addition to system statuses, you can create up to 20 new statuses per module. With the Essential plan, you can only rename and rearrange the default system statuses. To be able to create new ones, you'll need to upgrade your Scoro plan from Settings > Administration > Plan, add-ons and billing.
Let's take a look at statuses for quotes as an example.
Every status can be ticked as in use, in active list, and successful.
Items with status in active list will be displayed in the relevant list using a separate filter. You can set (for example) statuses 'Waiting' and 'Approved' as in active list, and they will be displayed when selecting this filter. By default, most lists show only active items.
Successful quotes are displayed in the pipeline, media plan, accounting objects’ report, the project summary table, and the Quoted vs Actual table. Only successful quotes are taken into account when creating a project budget based on quotes because you may issue several quotes to the client, but only some of them get confirmed.
Successful orders are displayed in the supplier report.
To add another status, click + Add another, add a name, color, etc.
To rearrange the order of statuses, just drag and drop them in the correct place. Their order will also change in other views, for example, the status columns in the Pipeline, when changing the order of statuses for quotes.
To delete a status, just click on the bin icon on the status line.
When done customizing – this is what the statuses look like in the quotes list. You can filter the list by different statuses, active, inactive, or only successful quotes.
Similar to the quotes status filter, the project filter also has an option to filter out only active projects, i.e., the projects that have a status that is marked as 'in active list'.
In addition, you can sort the list by status if you click on the Status column name. To change a quote's status, you just need to click on the status on the quote line and select a different one.
Example of the same statuses in the Pipeline. In this case, only the quotes with statuses marked as active are displayed.
A similar principle of 'in use' and 'in active list' checkboxes is for task statuses. However, for task statuses you can switch off them, in which case they will disappear from all views related to tasks. Just untick the checkbox on the statuses page for tasks and save the changes.
Calendar statuses are matched with a calendar integration that you can link with your Scoro calendar, so it's important to use them.
