1. Viewing a task
When you're viewing the task list, you can hover over the priority icon on the left of the task's title to see a preview of the task details.
To view the full details of a task, click on the task's title. This will open the task detailed view, where you can see all information about the task, such as related users (who's responsible and who the task is assigned to), the start and due date, status, activity type, task description, related project, comments, time entries, and, of course, the progress of the task.
The progress bar shows exactly how much of the task has been estimated, planned and done, how much still needs to be tackled, and if the task will be done by the estimated due date.
2. Modifying a task in the task detailed view
In the task detailed view, you can also add time entries, comments, and files to the task, and mark the task as done.
Note! If you marked the task as Done by mistake and want to revert the changes, click on the Modify button and untick the Done checkbox, then Save. To do this, you'll need to have the necessary permissions to modify tasks.
You can also reassign the task to someone else by clicking on the task assignee's image or initials and selecting the relevant user. Double-clicking on the Responsible user's image or initials removes the other task assignees and assigns the task back to them.
Note! To assign multiple assignees to a task, the Assign tasks to multiple users checkbox must be ticked under Settings > Work and projects > Calendar and tasks.
3. Modifying a task in the task modify view
To modify a task, click on the pencil icon next to the task's title in the task list.
This will open the task modify view, which is similar to the task creation view, and you can make the necessary changes.
Alternatively, you can also open the task detailed view by clicking on the task's title in the task list and then click the Modify button to make changes.
3.1. Converting a task to a calendar event
You can easily convert a task to a calendar event, which can be useful if the task needs to be taken care of on a specific day and time.
To turn the task into an event, click the Convert to event button. Once done, the task will be removed from the task list, and an event with the same details will be added to the calendar.
4. Modifying tasks in the task list
You can also modify some of the task details right from the task list.
4.1. Delegating a task
To delegate (assign or reassign) the task to a team member:
- Click on the grey icon next the initials of the responsible team member - the grey icon can look different depending on whether the task is already assigned to someone:
- Three dots - the task is unassigned
- Initials - the task is assigned to one person
- Group - the task has multiple assignees
- Select the necessary user(s)
- If you're also using the Individual time allocation feature, you'll be able to view the user's availability when assigning.
- Click Assign.
The delegated task will appear in the user's task list under the category Assigned to me and is marked with a question mark, as the user needs to accept the task. The task is still assigned to the user even if the user doesn't click the question mark to accept the delegated task.
The user responsible for the task (the user who assigned the task to another team member) will see the delegated task in their task list until it's completed or deleted. In both cases, the responsible user will be notified. To use responsible users for tasks, go to Settings > Work and projects > Calendar and tasks and activate the setting Appoint responsible user.
4.2. Modifying multiple tasks at once
To modify several tasks in the task list at once, just tick the tasks you wish to modify, and an additional bar with more options will appear.
5. Deleting a task
Note! The ability to delete your and other users' tasks are controled with permission sets. You can enable these permissions under Settings > Administration > Permission sets.
To delete a task:
- Open the task modify view by clicking the pencil icon next to the task's title in the task list
- Click Delete and confirm your choice.
If you delete a task by accident, it can be restored by your site's administrator within the next 30 days by following these steps:
- Go to Settings > Administration > Activity log
- Click on the name of the activity.
- Click Restore.

Can I merge multiple tasks into one task?
No, it is not possible to merge tasks at the moment.
Can I move the time entries from one task to another?

- Add the same time entries to the other task, then delete the same time entries from the original task (this has to be done one entry at a time).
Can I move a task to a different project?
Yes, you can easily move a task to a different project! To do so, modify the task, unlink it from the current project, and simply select the project you want to link the task to.
