To ensure that you can send emails from Scoro and they reach the intended recipients (e.g., when you're sending quotes, invoices, purchase orders, and other documents to your clients), the administrator of your site needs to set up either of the following:
- Custom e-mail domain add-on - a paid add-on that lets the site administrator enable custom e-mail domains based on the site’s users’ email addresses. There’s a monthly fee for each custom domain you verify in your site’s settings.
- SMTP - a free setup alternative to the custom e-mail domain add-on that lets site admins set up the default SMTP settings for the site. Each site user also needs to fill in their SMTP login details in their email settings.
By setting up either of the above options, you will also be able to see the sent emails in your email server and minimize the chance of sent emails being classified as spam.
If your site doesn't have any of the above options set up, you will not be able to send emails from Scoro.

1. SMTP setup overview
SMTP stands for Simple Mail Transfer Protocol, and it’s the standard way emails are sent across the internet. It’s responsible for taking your message, in this case, from Scoro and delivering it to your recipient’s email server.
When you’re setting up your own SMTP, you’re basically telling Scoro how to send emails on your behalf to your clients. This helps to ensure that your emails:
- Come from your own domain (like john@johnssite.com)
- Actually get delivered (and not marked as spam).
The SMTP setup has two parts:
- Setting up the default SMTP settings - this needs to be done by the site administrator.
- Setting up the personal SMTP - this needs to be done by each site user individually.
Let’s go through the whole process step by step!
2. For admins - setting up the default SMTP settings
Note! The default SMTP settings need to be set up by the site administrator.
To set up the default SMTP settings for all site users:
- Go to Settings > Administration > E-mail setup
- Enter the Server and Port details
- Select the security settings from the Security dropdown field.
3. For all site users - setting up your personal SMTP
Once the site admin has configured the default SMTP settings, each site user needs to configure their own SMTP under Settings > My settings > E-mail to ensure outgoing emails reach the recipient.
In the Use my own SMTP dropdown field, you can select either of the following email servers - click the link below for a step-by-step walkthrough of the setup process:
3.1. Gmail
To set up Gmail SMTP settings:
- Select Gmail from the Use my own SMTP dropdown field.
- Click on the Sign in with Google button.
- Select the same email account that you use in Scoro. If you’re unsure what the email address linked to your Scoro account is, you can check it under Settings > My settings > Profile.
- Tick the Send email on your behalf checkbox to give Scoro permission to send out emails from Scoro, then click Continue to finish the setup.
Once set up, you’ll be able to use Gmail SMTP to send emails from Scoro.
3.2. MS Exchange
Note! Before setting up the Exchange SMTP, make sure that Outlook’s delegated Mail.Send permission is enabled. Contact your company’s IT administrator about the permissions if you run into any issues. You can find more information here.
To set up MS Exchange SMTP:
- Select MS Exchange from the Use my own SMTP dropdown field and click the Sign in with Microsoft button.
- You will be redirected to the Microsoft sign-in screen – log in to your Microsoft account.
- Once logged in, you will be asked to grant Scoro permission to send email as you. Click Accept.
Once confirmed, you will be redirected back to the E-mail settings page in Scoro, and that's it – you can now send emails from Scoro using your Microsoft account!
3.3. Custom SMTP server
Note! When setting up a custom SMTP server, you’ll need to enter your email account username and password, not your Scoro account credentials.
To set up a custom SMTP server:
- Select Custom from the Use my own SMTP dropdown field.
- Enter your server address, port, and select the security option.
- Enter your email account’s username and password in the Username and Password fields. Don’t enter your Scoro account credentials here.
- Click Save to finish the setup.
4. Disconnecting your SMTP
To stop using the SMTP you had set up, simply click the Disconnect button.
