1. How does Scoro's modular pricing model work?
Scoro's modular subscription structure consists of four main building blocks, giving you full freedom to set up your Scoro site with exactly the functionalities you and your team need:
1.1. Platforms
Platforms include the foundational functionalities crucial for Scoro to run. Every Scoro subscription starts by choosing your platform tier, and every platform subscription includes 2 core apps of your choice by default.
Scoro offers two platform tiers:
-
Standard platform: Designed as the standard starting point for most businesses. It covers core cross-workflow infrastructure and essential capabilities, including:
- Projects and basic project management functionalities
- Company record management
- Dashboards
- Bookmarks
- Products and services
- PDF templates
- Comments and notifications
- Watchdogs
- Triggers and actions
- Data import and export
- Tags & tag groups
- Custom fields
- ELI, Scoro's AI-powered assistant
- Scoro MCP server
-
Enterprise platform: Built for larger organizations or compliance-heavy businesses that require advanced security, administrative governance, and higher system limits. It includes everything in the Standard platform, plus:
- Single Sign-On (SSO)
- SCIM / Automated User Provisioning (e.g., via Okta, Microsoft Entra ID, OneLogin)
- Unique and mandatory fields
- FTP server integration
There are some volume-based differences for certain functionalities across both platforms. For a more detailed breakdown, please see the dedicated Help Center article about the specific feature.
1.2. Core apps
Core apps are dedicated sets of functionalities that you can enable on top of your chosen platform foundation. Scoro offers 8 core apps divided into two functional categories:
Work core apps
All Work core apps share a common task management foundation consisting of tasks and task lists.
-
Do app: The day-to-day work execution app that lets you keep track of what needs doing and when. Designed for work & task management and managing your team’s day-to-day work.
- Key features: Task board, subtasks, recurring tasks, smart inbox, calendars, and shared resources.
- Best for: Teams whose daily work is otherwise scattered across email, Slack, and spreadsheets, and who need a single shared workspace to manage daily action items and eliminate scattered communication across email and messaging tools.
-
Deliver app: The project planning and delivery app that lets you run scoped projects with timelines. Designed for comprehensive project management, milestone tracking, and complex scheduling.
- Key features: Gantt charts, task dependencies, phases & milestones, project templates, retainers, and multiple project timelines.
- Best for: Teams running multi-stage projects with fixed scopes, deadlines, and delivery milestones.
-
Track app: The time and cost tracking app that lets you see where time went and what it cost. Focuses on real-time time tracking, labor costs, and visibility into billable hours.
- Key features: Time tracker, timesheet, billable time tracking, labor cost tracking, and work reports (detailed work report and work summary report).
- Best for: Service teams and agencies where time is the core product and real-time visibility into non-billable time and labor costs is required.
-
Resource app: The capacity and workforce planning app that focuses on team availability, workload balancing, and resource management.
- Key features: Planner, bookings (project-level and portfolio-level), real-time availability indicators, time off management, and team performance reports.
- Best for: Managers needing clear visibility into team bandwidth, scheduling constraints, and future capacity before committing to new work.
Sales & Finance core apps
-
Sell app: Designed for lead management, customer relationship management, and sales pipeline tracking.
- Key features: people contact management, deals & price proposals (simplified quotes), pipeline view and pipeline reporting, web forms, and quote templates.
- Best for: Sales teams looking for a lightweight CRM to manage leads, track opportunities, and generate price proposals without full pre-sales cost estimation.
-
Estimate app: Focuses on detailed job estimation, budget building, and pre-sales margin control.
- Key features: Full quote builder, budget builder, quote estimation matrix, quote templates, sales activity report, and integrations with Salesforce and HubSpot.
- Best for: Businesses that scope and price complex client work upfront and need to build margins directly into quotes before converting them into project budgets.
-
Spend app: Focuses on outgoing expenses, vendor management, and supplier costs.
- Key features: Bills, expenses, purchase orders, supplier management, and integrations with Expensify and Envoice.
- Best for: Companies managing external vendor invoices, contractor fees, and project-related purchasing.
-
Invoice app: Focuses on client invoicing, automated billing workflows, and payment tracking.
- Key features: Sales invoices, receipts, prepayment invoices and balance tracking, scheduled invoices, automated payment reminders, activity-based billing, Stripe integration, and accounting software syncs (Xero, QuickBooks, etc.).
- Best for: Teams handling diverse invoicing models (fixed fee, time and materials, prepayments) that need direct links between billed invoices and underlying work.
For more detailed information on the various features available in each app, please see our Plans & Pricing page. You can also check the dedicated Help Center articles on specific Scoro features to see their availability.
Combining the apps
Each core app is contextually independent and can work on its own. As you combine different apps, the data becomes interlinked, so you can choose as many or as few apps as you need to run your workflows, and add on as you grow.
Here are a few popular combinations:
- If your primary focus is to turn logged hours into invoices and to never lose a billable minute, choose the Track and Invoice core apps.
- If you need to plan projects, assign resources, and see what time means in terms of revenue, choose the Do, Deliver, Track, and Resource core apps.
- If you want to estimate, deliver, track, and bill in one connected flow, choose the Estimate, Deliver, Track, and Invoice core apps.
- If you want to run the client and project lifecycle end-to-end in a single system, choose all Work core apps and Sales & Finance core apps, plus the Advanced Work and Advanced Financials core app add-ons.
Of course, there are many more app combinations to power different workflows – pick and choose the core apps that enable your team's specific daily workflows and operations!
1.3. Core app add-ons
In addition to the core apps, you can also enable the Advanced Work and Advanced Financials add-ons, which provide an extra layer of operational control, depth, and governance. They are optional additions for teams requiring advanced oversight without cluttering Scoro’s interface for those teams requiring a simpler setup.
Advanced Work add-on
The Advanced Work add-on gives you additional control and reporting across your work management workflows. It is most useful for teams requiring strict timesheet approval workflows, time locking rules, or advanced revenue recognition insights.
Key features in the Advanced Work add-on:
- Task matrix view in the task board
- Activity confirmation before billing
- Time locking
- Revenue recognition
- Work in Progress (WIP) report
- Budget health tracking
Advanced Financials add-on
The Advanced Financials add-on adds advanced depth, multi-currency options, and financial controls across pre-sales and billing workflows. It is useful for companies that bill clients across multiple currencies, manage complex tier-based price lists, or require multi-stage managerial approval before quotes or invoices are issued.
Key features in the Advanced Financials add-on include:
- Client profiles
- Rate cards
- Multiple currencies
- Quoted vs Actual table & reporting
- Financial document approval workflows
1.4. Extras
Extras encompass standalone mini-apps, portals, and account-level add-ons that extend Scoro's footprint:
- Customer portal: Grants external clients access to view project progress, approve quotes, or track shared documents.
- Additional entities: Enables multi-company support and separate accounting entities within a single Scoro environment.
- Custom modules & specialized apps by Scoro: Custom workspace modules and specialized apps, such as the Time Off Management app, RAID log, IT asset registry, and others.
- ...and many, many more extras to further empower your Scoro experience!
1.5. Integrations
Scoro offers integrations with various third-party software solutions and tools.
- Some integrations (e.g., Google Calendar, Apple Calendar, MS Exchange, Google Drive, Dropbox) are already included with your platform choice.
- Certain integrations are included and available in specific core apps – for example:
- Xero and QuickBooks syncs are included with the Invoice or Spend apps;
- BambooHR sync is included with the Resource app;
- HubSpot and Salesforce syncs are included with the Estimate app.
- Some specialized enterprise-grade integrations are available only as paid integrations (e.g., Jira, Sage Intacct, Finbite).
For more detailed information on the availability of a specific integration, please see our Plans & Pricing page or check the dedicated Help Center article in the Integrations section.
2. Frequently asked questions (FAQ)
Can I pick just one core app?
Both the Standard and Enterprise platforms automatically include two core apps of your choice by default. So even if you currently need just one app, use the change to get another one that would be most useful to your team!
Is there a minimum number of user seats required?
Yes, the minimum required seat count across all Scoro subscription packages is 5 user seats.
Can I add or remove apps after I've subscribed?
Yes! As your team's needs evolve, you can add new apps, remove apps you no longer use, or change your app combinations at any time. Your subscription will automatically update to reflect your active core apps, add-ons, and user count.
Can I exchange a purchased core app for another core app during my billing cycle?
Yes. If your workflow requirements change during your billing cycle, you can switch or reconfigure your active core apps through your account settings.
Can I add more apps and extras at any time?
Yes, you can add additional core apps, add-ons, extras, or paid integrations to your subscription at any time during your monthly or annual billing cycle.
Can different team members have access to different core apps?
Yes. Module access and permissions are managed on a per-user or per-role basis. This allows you to give team members access only to the apps they need for their role—for example, granting your finance team access to the Invoices and Purchases modules in Scoro without exposing them to the rest of the company.
What happens if I unsubscribe from an app? Does my data remain on my site if I resubscribe later?
Yes, if you unsubscribe from a core app or extra module, all historical data created within that app remains safely stored in your Scoro database. If you decide to resubscribe to the app later in the future, your access to that historical data and its associated views will be fully restored.
My site is currently on a legacy Scoro plan (Essential, Standard, Pro, Ultimate, Core, Growth, Performance, or Enterprise). Do I need to switch our site over to the modular pricing model? How can I do it?
If your site is currently on any of Scoro’s legacy plans—Essential, Standard, Pro, Ultimate, Core, Growth, Performance, or Enterprise—you can either remain on your existing plan or transition to the new modular model. Please contact your dedicated Success Manager or send an email to success@scoro.com.
