1. Previewing the quote PDF
Before sending the quote to the client, preview it by clicking the PDF button to confirm everything looks as needed. You can also easily switch between PDF templates and customize them according to your needs.
When you’re ready to share the quote with your client, you can do it by sending an email with the quote or by creating a shareable quote link.
2. Sending an email with the quote
Note! To send emails from Scoro, SMTP must be configured or a custom email domain verified on your site. Check with your site administrator if you're unable to send an email from Scoro.
To send an email with the quote from Scoro directly to the client:
- Open the quote detailed view and click the Send button located at the bottom-right corner of the quote detailed view.
- The message-sending screen will appear, with the recipient field automatically filled in based on the information on the contact card. If you’ve also filled in the quote e-mail templates in Scoro, the e-mail body will be prefilled as well. Modify the email message as needed, then click Send to send the quote.
3. Creating a shareable quote link
You can also share a quote by creating a shareable link and sharing it with your client. This allows them to open the quote directly in the browser and use the accompanying chat box to give immediate feedback. Sharing quotes this way helps reduce back-and-forth emails and keeps any discussions about the quote in a single, compact view.
To create a shareable link to the quote:
- Open the quote detailed view and click the Share via link button. This generates a unique link that will give your client access to the latest published version of the quote.
- Click the copy button next to the link to copy it to your clipboard and share it with your client.
The client can use the link in the email to open the quote directly in their browser. The shared quote view displays the latest published version of the quote, along with a chat box that enables the client to confirm the price proposal or provide feedback conveniently. This makes communication more immediate and helps shorten the quote-closing cycle.
Note!
- The quote link is active for one year.
- The quote PDF accessible via the link will expire in 30 days. To refresh it, click the Share via link button in the quote detailed view, then click the Update PDF button.
- The quote sharing option in the quote detailed view is always available on your site and cannot be disabled.
As soon as the share link is generated, a separate thread will appear under the Comments section in the quote view. This thread will be synced with the chat in the shared quote view. Whenever the client comments on the quote, you will get notified in Scoro and see their message under this thread. You can track the whole conversation as well as reply to the client via this thread, without leaving Scoro.
Note! Only that specific thread is synced with the chat in the shared quote view. Comments outside of that thread are not visible to the client and can be seen only by relevant team members in Scoro.
Changes you make to the quote aren't automatically updated in the shared quote view. To update the shared quote view, you need to update the shared link:
- Open the quote detailed view and click the Share via link button.
- Click the Update PDF button to update the shared view with the current quote contents. The client will see the updates after refreshing the shared view in their browser.
To stop sharing the quote:
- Open the quote detailed view and click the Share via link button at the bottom menu.
- Click the Stop sharing button. Scoro will also stop syncing the comment thread with the chat until you decide to share the quote again.
4. Automating the quote link in your emails
You can also further automate the quote-sharing process by adding the quote link to your email template or footer. This way, Scoro will generate the link automatically for you every time and include it in the e-mail accordingly.
4.1. Adding the quote link into the e-mail template
To add the shared quote view link to the quote e-mail template:
- Go to Settings > My settings > E-mail and scroll down to the Quote e-mail template.
- Choose where in the email content you want to place the link, insert the Public quote dynamic field (select Quote in the first dropdown and then Public quote link), and save the changes. Scoro will add the respective placeholder into your template.
Once added, whenever you send a quote from Scoro, the shareable quote link will be automatically generated and inserted into your email, replacing the placeholder with the hyperlink Open the quote in the browser. The hyperlink text cannot be customized.
4.2. Including the quote link in the e-mail footer
To add the shareable quote link to the e-mail footer:
- Open the quote detailed view and click Send.
- In the message-sending window, enable the Add the quote link into e-mail footer. Once enabled, Scoro will generate the shareable link and include it in the email footer. This way, you don’t have to manually create and copy the link, but you can still give the client the option to access and comment on the quote in the browser.
