Price lists, also called rate cards, allow you to sell your products and services to different clients at different prices and/or in different currencies.
You can manage your price lists under Settings > Sales and finance > Products and services > Price lists.

1. How can I use price lists in Scoro?
Price lists in Scoro act as a ‘pricing layer’ that automates how your rates are applied across the platform. To get the complete picture of how they work, think of them as the link between your products and your clients:

Define the selling and buying rates for your products:
Set different selling prices for products or services in your product database based on your price lists. -
Link price lists to clients:
Assign a specific price list to a client profile or an individual contact. -
Automate pricing details on documents:
When you create a sales document (like a quote or an invoice) and select a client, Scoro automatically pulls the correct price for any product you add based on that client's linked price list. This automation ensures your team always uses the correct negotiated rates, but you can always override them if needed.

2. Setting a default price list
You can have several price lists on your site and set one as the default price list, which serves as your ‘fallback’ pricing. It is automatically applied to any new client or project that doesn't have a specific price list assigned.
To set a price list as the default:
- Go to Settings > Sales and finance > Products and services > Price lists.
- Select the price list from the Default price list dropdown field that you want to make the default.
Switching the existing default price list to another one will affect only new quotes, orders, or invoices. Changing the default does not retroactively update prices on existing quotes, orders, or invoices; your historical financial data will remain the same.
3. Adding a new price list
To add a new price list:
- Go to Settings > Sales and finance > Products and services > Price lists.
- Click the Add price list button.
- Fill out the price list details:
- Name – set a distinctive name for your price list
- Currency – select the currency you want use for this price list. This dropdown field lists the currencies you’ve enabled in your currency settings.
- Code – enter a custom code for your price list. This code is mainly used for interfacing with other systems.

4. Modifying a price list
To modify a price list:
- Go to Settings > Sales and finance > Products and services > Price lists.
- Click on the name of the price list you want to modify, make the necessary changes, and click Save.
5. Deleting a price list
Before you proceed with price list removal, there are a few things to keep in mind to maintain pricing data integrity and historical pricing details:

Default price lists are locked and cannot be deleted unless a different price list is set as the new default first. This helps to prevent accidental deletion of your primary pricing data.
- Scoro will warn you if you’re trying to delete a price list that is currently linked to one or more projects. If you proceed, those projects will automatically switch to the default price list currency, without converting the amounts. Please note that this can cause inconsistencies in financial data.
To keep your historical pricing data intact, we recommend deleting only price lists that have not been used in the past. If a price list you’ve used in past projects and financial documents becomes outdated, we recommend renaming it to clearly indicate it’s archived, so your team knows not to use it further.
To delete a price list:
- Go to Settings > Sales and finance > Products and services > Price lists.
- Click on the name of the price list you want to delete.
- Click the Delete button and confirm your choice.
6. Permissions for price list management
Price list management rights in Scoro are controlled by permission sets.
There are multiple permissions you can enable or disable for a permission set that affect what users with this permission set can do with price lists:
- Modify products/services settings – controls whether users with this permission set can manage the product and service settings under Site settings > Sales and finance > Products and services, including price list management.
- View price lists of other users – controls whether users with this permission set can view price lists that are created by other team members. If disabled, the user will only see the price list that's set as the site's default.
